Reserving Conference Rooms
City Hall
City Hall Conference rooms are available for use Monday through Thursday from 5 p.m. to 10 p.m. Groups that wish to reserve a room must follow the City Hall rental policies listed below. We strive to review and reply to room requests within one business day.

City Hall rental policies
Please read all the information related to reserving and using conference rooms in City Hall. You will be asked to agree to the terms when submitting a reservation request.
To reserve a conference room
- Complete the reservation request form online, linked below.
- Submit your request at least 7 calendar days before your meeting.
- Do not submit your request more than 60 days before your meeting.
- You can reserve a room up to once per week.
- Conference rooms are available Monday through Thursday from 5 p.m. to 10 p.m.
- The person filling out the reservation form is responsible for any and all damages to the building and room for that meeting. This person is also responsible for informing their group of the policies.
Approval or denial
- Brooklyn Park staff will review, approve, and confirm your reservation within one business day after receiving your request.
- Holidays may affect room availability.
- We reserve the right to move your group to another room or cancel your reservation, if necessary.
Cancellations
- Cancellations should be made at least three business days in advance of the meeting.
- To cancel a meeting, reply to the approval email or call 763-424-8000.
- Failure to comply or no shows could forfeit future reservation requests.
Priority order
The City of Brooklyn Park gives scheduling priority to Brooklyn Park official groups. The City Council, official advisory boards, commissions, and city staff have first priority to use these rooms.
All other groups are welcomed based on the priorities listed below (1 through 6).

1 | City Functions: Activities, meetings, or events that serve a city function in the normal course of business as authorized by a department director or the City Manager |
2 | Brooklyn Park Homeowners Associations (HOA) or neighborhood groups |
3 | Community-based organizations: Organizations that operate independently from the City and are representative of the Brooklyn Park community or a significant segment of a community, and is engaged in meeting human, educational, environmental, cultural, civic engagement, public safety and supports the city’s goals. |
4 | Nonprofits or Government Agencies |
5 | Political parties or campaigns |
6 | Businesses: Meeting only (no sales or promotions) |
Not allowed uses
Conference rooms cannot be used for the following reasons:
- Religious worship services
- Commercial enterprises
- Parties
- Gambling
- Cooking
- Classes
- Crafts
- Dances
Please ask if you are unsure if your event qualifies for one of these uses
Other guidelines
- Your group must have adult leadership and supervision.
- Return the room to its original state or better before leaving the premises.
- Do not move furniture to or from another part of the building.
- Light snacks such as crackers, cookies, or donuts are allowed (The exception to this is room B107, which has a sink and countertop).
- Beverages such as bottled water, canned soda, or boxed coffee are allowed.
- Alcohol is not permitted.
- City Hall is a smoke-free facility. You cannot smoke or vape inside the building.
- Only city staff can use the technology in the room. If city staff is present at your meeting, they can use it and are responsible for it.
- Special room setup is only available in the Council Chambers. All other rooms have chairs and tables that may be moved around but must be returned their original setup before you leave.
- City Hall is not a secure building. The front doors are left unlocked during reservation hours. Use rooms at your own risk and secure your own belongings as Brooklyn Park is not responsible for them.
Community Activity Center
